Manage your subscription and view transactions

Where to find your current plan, AI credits, transaction history, and upgrade options — plus how to download an invoice for accounting.

This walkthrough covers the club admin’s billing surface — where to see your current plan, AI credits, transaction history, and how to manage your subscription. Members never see this screen.

Before you begin

  • You need the Owner or Billing admin role on the tenant.
  • Your club is on one of the PureClub subscription plans. New trials are auto-provisioned with the starter plan.

Step 1 — Open Billing

From the admin nav, go to Settings → Billing. The page is split into three sections: plan summary, AI credits, and recent transactions.

Step 2 — Read the plan summary

The top card shows:

  • Plan name — what tier you’re on (Starter, Pro, etc.).
  • Renewal date — when the next billing cycle starts. Shown in your browser’s locale (e.g. parents in en-GB see 13 July 2026, en-IE admins see 13 July 2026).
  • Member count — current usage against the plan allowance. Going over the cap doesn’t block features immediately; you’ll see an upgrade prompt instead.

Step 3 — AI credits

Plans bundle a fixed number of AI credits per cycle. The progress bar shows credits used / total. Credits cover:

  • AI match-report drafting
  • AI content / newsletter drafts
  • AI scouting / opposition analysis

When you hit the cap, you can either upgrade the plan or buy a top-up bundle. Top-ups don’t roll over between cycles unless you’re on the annual plan.

Step 4 — Transactions table

The transactions table lists every subscription charge and AI top-up. Each row shows:

  • Date
  • Description
  • Amount + status (succeeded, refunded, failed)
  • Action — download invoice as PDF

Hand the invoice straight to your treasurer or accountant — it includes your club name, VAT info if configured, and the line items.

Step 5 — Upgrade or change plan

Click Change plan in the plan-summary card to open the plan picker. Each plan shows its member cap, AI credit allowance, and price. Choosing a plan opens the Stripe-hosted checkout to confirm and complete the upgrade. Downgrades take effect at the next renewal so you keep what you paid for to the end of the cycle.

Step 6 — Update payment method

If your card expires or you need to switch to a different card, click Update payment method. This opens the Stripe Customer Portal where you can swap cards, see invoices, and update billing address — Stripe handles all of it securely; we never see card details.

Step 7 — Cancel

Cancel from the plan-summary card. You keep the plan’s features until the end of the current cycle, and no further charge is taken. You can reactivate any time during that window without losing data.

If you cancel and then change your mind after the cycle ends, signing back in opens the same plan picker — your tenant and all its data are still there.

Common questions

Who can see this page?

Only admins with the Owner or Billing admin role. Coaches and parents never see it.

Where do parent payments (course / lotto / membership) appear?

Those go through your Stripe Connect account, separate from your subscription. See Club → Payments for the payouts and per-transaction breakdown. The billing page only shows what your club pays PureClub.

I get a "trial expired" message — what now?

Pick a plan from the plan picker. Until you do, most features are read-only. Your data isn’t deleted — it’s waiting for you to subscribe.
